Zillow Rental Manager is a free listing and management tool that puts your rental in front of renters on Zillow, Trulia, and HotPads. Screening, leases, and rent collection are free for landlords, and applicants pay a $35 screening fee. The tradeoffs come down to reach and follow-through: your listing only appears in Zillow’s network, repairs are yours to coordinate, and financial tracking centers on rent payment records. RentSpree may be a better fit if you want to reach renters on other sites too, hand off repair coordination, and see where your money stands all year.
If you're looking at Zillow Rental Manager, there are three things you want to know: what it does, what it costs, and whether it covers everything your rental needs. This review walks through Zillow Rental Manager's pricing, tenant screening, rent collection, leases, and maintenance tools, based on Zillow's own product pages and help center. It also compares Zillow Rental Manager to RentSpree, so you can see where the two differ on the things that shape your day-to-day: how many renters see your listing, who handles repairs, and how much help you get running the rental after move-in.
What is Zillow Rental Manager?
Zillow Rental Manager is Zillow's free tool for landlords and property managers who list rentals on the Zillow network. From one dashboard, you can post a listing, accept applications with screening reports, sign leases, collect rent, log maintenance, schedule tours, and track leads.
Listings you create appear on Zillow, Trulia, and HotPads. Zillow says its rental network draws over 30 million monthly visitors.
Landlords do not need to pay a subscription to use the core tools. The costs that do exist fall on applicants, on tenants who pay rent by card, and on landlords who choose a Premium listing.

The $35 screening fee covers a credit report and a background check. It's portable, so an applicant who pays once can apply to any number of participating Zillow rentals for 30 days. Applicants typically pay screening fees, and on many platforms landlords can choose to cover them, but some jurisdictions limit or prohibit passing the fee to applicants. Check local rules before you list.
What this means for you: You can list, screen, sign a lease, and collect rent on Zillow Rental Manager without paying anything. If you want more visibility for a listing, Premium is a one-time $39.99 charge per listing, with no recurring subscription.
Zillow Rental Manager features
Tenant screening
Zillow’s applications include a credit report from Experian and a background check from CIC. The background check covers a national criminal search, a sex offender search, and housing court records.
Two details shape how Zillow screening works day to day. The application is fixed, so you can’t edit Zillow’s questions or upload your own application to the platform. Reports are also available for a limited window: you can view third-party reports for 30 days after you receive them, and access extends 30 days from your first view.
For income, the application collects what the applicant reports and lets them upload documents, such as pay stubs, W-2s, and bank statements. Zillow also advertises verified income information built directly into Zillow Applications.
When you decline an applicant, Zillow lets you select reasons and send a message from the application. Under the Fair Credit Reporting Act, you're required to send a denial notice with specific details any time you deny an application or change lease terms based on a screening report. Missing this step carries up to $1,000 in statutory damages per violation. Zillow's help center suggests preparing your own denial notice with the required details, such as the reporting agency's contact information, so if you use Zillow for screening, you'll likely need to handle this step separately.
Rent collection
Rent collection is free for landlords, and tenants pay nothing when they pay by ACH bank transfer. Tenants who pay by credit card pay a 2.95% fee, and debit card payments cost $9.95. Zillow sends tenants automatic reminders, and on-time payments can help tenants build credit.
Payments can take up to five business days to arrive, depending on how the tenant pays. Zillow's newer Fast Payments option can deliver eligible rent payments in as little as two business days. Your payment records stay in one place, with access to 1099s at tax time. If you own several properties, note that Zillow Rental Manager links one bank account to receive rent for all of them.
Leases
You can upload any lease, update key details with editable fields, and send it for e-signature from anywhere in the US at no cost. Zillow also offers its own lease template in some states. Once your lease is stored, Zillow pulls in key details from it when you set up payments, message tenants, or renew.
Listing and advertising
Your listing appears on Zillow, Trulia, and HotPads. A Premium listing costs $39.99 per listing for up to 90 days, and places your rental higher in local search results and adds a tracking phone number to cut down on spam calls, insights on pricing and listing performance, listing recommendations, and priority support. Be aware that Zillow doesn't refund Premium if you take a listing down early.
Maintenance tracking
Zillow Rental Manager's maintenance tracker is a log for landlords and property managers. You create a task for a property, update its status, add notes and photos, and record expenses when the work is done. Tenants can't submit requests through the tracker, so repair requests come to you through whatever channel your tenant uses. That can mean a text one week and an email the next, and it's your job to log each one, find a contractor, and schedule the visit.

What Zillow Rental Manager users say
Zillow's Trustpilot profile covers the whole company, including home search, agent services, and mortgages, so it isn't a direct read on Zillow Rental Manager, but is still worth considering. Zillow holds a TrustScore of 1.3 out of 5 across over 600 reviews.*
What landlords like: Landlords on forums credit Zillow for listing exposure and for having screening, leases, and payments in one free account. Renters also appreciate that one $35 application works across participating Zillow rentals for 30 days.
What landlords flag: Some Trustpilot reviewers who use Zillow Rental Manager describe rent payments taking longer than expected to reach their accounts. Others describe difficulty getting answers from support.
Where Zillow Rental Manager falls short
Based on Zillow's product pages and help center, here are areas where Zillow Rental Manager may not cover everything you need:
Your listing stays within Zillow's network. Zillow Rental Manager advertises your rental on Zillow, Trulia, and HotPads. Renters who search Apartments.com, Redfin, Zumper, or other sites won't see it unless you list there separately.
Repairs are yours to coordinate. The maintenance tracker records tasks and expenses. Finding a contractor, getting a quote, and scheduling the visit are your responsibility.
Financial tracking centers on rent. You get payment records and 1099s, plus any expenses you log on maintenance tasks. To see income, expenses, and how each property is performing in one place, you'd need a manual spreadsheet or separate bookkeeping software.
There's no MLS connection for rentals. In early 2021, Zillow stopped publishing rental listings from MLS feeds without a direct agreement. Agents post rentals to Zillow through Zillow Rental Manager or a paid feed connection, separate from their MLS. For agents, that can mean entering each rental twice and running applications and screening outside the tools you already use.
Who is Zillow Rental Manager best for?
Zillow Rental Manager is a good fit for landlords who want the core rental workflow at no cost and find enough renters through Zillow's sites. It may work well for you if you:
- Want listing, screening, leases, and rent collection without a subscription
- Fill vacancies easily through Zillow, Trulia, and HotPads alone
- List several rentals on Zillow and want applicants who apply to one unit to be able to apply to another without paying again
- Handle repairs and bookkeeping yourself or with other tools
It may be a weaker fit if you want broader advertising, help coordinating repairs, or financial reporting, or if you're an agent who works from the MLS.
How RentSpree compares to Zillow Rental Manager
Both platforms let you list, screen, and collect rent without a subscription. The differences show up in three places: how many renters see your listing, who handles repairs, and how much help you get running the rental after move-in.
RentSpree vs. Zillow Rental Manager: by the numbers
Key differences between RentSpree and Zillow Rental Manager
1. RentSpree advertises your rental beyond Zillow's network
Renters search in different places. Some start on Zillow, but others just start Googling, which might take them to Apartments.com, Redfin, or Zumper. From a single listing, RentSpree advertises your rental to over a dozen of the top websites, including Zillow, Apartments.com, and Rent.com. That reach includes Zillow, Trulia, and HotPads, so you keep Zillow's audience and add renters who search elsewhere, which gives you more applicants to choose from when you're filling a vacancy.
With Zillow Rental Manager, your listing appears on Zillow, Trulia, and HotPads. Reaching renters on other sites means creating and managing a separate listing on each one.
2. RentSpree's Rental assistant handles repairs from report to receipt
With Rental assistant, included with Landlord PRO, your tenant reports a repair need from their RentSpree account. Rental assistant then triages the request and brings it to you with a spending cap. Once you approve, a licensed pro is scheduled directly with your tenant, and you're never charged more than you approved. Rental assistant also answers routine tenant questions using the language in your lease. That means you're not fielding every question about parking or late fees, and repairs get handled without you sourcing a contractor or chasing quotes, while every decision stays yours.
Zillow Rental Manager's maintenance tracker is a record-keeping log. Tenants can't submit requests through it, so sourcing a contractor, getting a quote, and scheduling the visit are all tasks that you need to complete.
3. RentSpree's Landlord PRO helps you run the rental after move-in
Once the lease is signed, your work turns to collecting rent, tracking income and expenses, and knowing how each property is performing. Landlord PRO costs $6.99 a month billed annually, with no per-unit fee, and includes:
- Free rent payment collection
- Bookkeeping that records income and expenses against each property
- Financial reports and rental performance tracking
- Up to 2.5% APY on rent payouts***
- Rental assistant for tenant questions and repair coordination
With your numbers tracked all year, you can see which properties are paying off, and start tax season with organized records.
Zillow Rental Manager keeps your rent payment records and 1099s, and its maintenance tracker lets you log repair expenses. Its paid option, Premium, focuses on listing visibility.
If you want to see income and expenses by property, or know which rental is pulling its weight, you'd need to build that view yourself in a spreadsheet or separate bookkeeping software.
Who may prefer RentSpree over Zillow Rental Manager?
You may find RentSpree a better fit if you:
- Want your rental advertised beyond just Zillow, Trulia, and HotPads
- Want repair requests triaged and contractors scheduled, with your approval on every job
- Want bookkeeping and financial reports alongside rent collection
- Are a real estate agent, or work with one, and want applications, denial notices, and deposit collection connected to your MLS workflow
A note for real estate agents evaluating Zillow Rental Manager
When you place a tenant for a landlord client, the job runs from the listing to the deposit, and your client counts on you to keep each step on the right side of federal and local law. How smoothly that goes determines whether they call you for the next one.
Zillow Rental Manager is built around Zillow listings. Since Zillow stopped publishing rental listings from MLS feeds without a direct agreement in 2021, agents post rentals to Zillow through Zillow Rental Manager or a paid feed connection, separate from the MLS. Its help center also directs landlords to prepare their own denial notices with the reporting agency's details, so if you screen through Zillow on a client's behalf, that step happens outside the platform.
RentSpree is built for agents who handle rentals, and it keeps the steps you're responsible for in one place.
Applications start from your MLS listing. RentSpree integrates directly with 72 MLS systems and has more than 300 MLS, technology, and brokerage partnerships. When you list a rental in a partner MLS, RentSpree adds an application link to the listing, so applicants apply straight from there and screening starts inside the workflow you already use. California agents who are C.A.R. members can also send the C.A.R. rental application through RentSpree.
Compliance steps are built into screening. Federal law requires a denial notice with specific details from anyone who turns down an application based on a screening report. If you're screening applicants for a client, that can be you. RentSpree sends the denial notice from your dashboard with those details included. In places that require conditional acceptance, such as New Jersey, New York City, Maryland, and Cook County, Illinois, RentSpree keeps the criminal report hidden until you confirm you've conditionally accepted the applicant, then unlocks it in your dashboard.
The deposit comes through the same account. Once you and your client choose a tenant, you can set up the security deposit, move-in fees, and first month's rent from your RentSpree dashboard. You can send those payments straight to your client's account, and you can track each payment's status without chasing anyone for an update.
Every step your client sees, from the application to the deposit request, comes from one account, which keeps the placement moving and leaves fewer steps to slip through.
